Position Summary

Descartes’ EMEA Human Resources Team supports over 800 employees throughout the EMEA region across 20 countries. In your role of HR Administrator, you will work closely with the HR Business Partner and will be responsible for the general HR administration, recordkeeping and reporting for assigned EMEA countries (Slovenia, Czech Republic, Poland, Slovakia, and Spain).


The HR Administrator is expected to be the first point of contact for general HR queries across the whole employee lifecycle, to generate all required paperwork.

This position is based in our Sencur office, but the successful candidate is given the flexibility to work from home also, owing to our hybrid working policy.

Key Responsibilities
  • Organize and maintain personnel records.
  • Update internal HR databases, employee files with digital personnel records of relevant employee information.
  • Prepare HR documents (employment contracts, amendments…).
  • Process new hires on-boarding documentation, creation of files, systems set-up, and coordination of introductory reviews.
  • Conduct regular audits of employment files and systems to endure they are up-to-date, accurate, and GDPR compliant.
  • Process off boarding documentations.
  • Provide administrative support to employees for the enrolment and processing of benefits.
  • Assist payroll by providing relevant employee information.
  • Provide professional advice and guidance to employees on the internal policies and procedures, compensation, and benefits, …
  • Participate in HR projects (e.g. help organize a job fair event)
  • Create professional and accurate correspondence.
  • Ensure that HR information and activity always remains confidential.
  • Other HR related activities as may be required on an ad hoc basis.

Knowledge and Skills
  • Fluent in English.
  • Knowledge of MS Office (Word and Excel).
  • Previous experience of HR administration is a plus.
  • Experience in the use of HR systems, for example, SAP and SuccessFactors is a plus.
  • Excellent communication and interpersonal skills
  • Strong organisational and multitasking skills.
  • High attention to details is essential.
  • Proactive and self – motivated with willingness to learn.
  • High degree of motivation, reliability, and confidentiality.
